HR and payroll disagree
Hire, transfer and dismissal orders set the job, schedule and pay that payroll reads. A transfer on the 15th splits the month into two prorated segments without anyone adjusting it by hand.
Run the whole monthly payroll cycle inside Business Central: HR orders, schedules, timesheets, leave and sick leave, payroll calculation with taxes and contributions, payouts, bank payments and the IPC21 report. Everything posts to the general ledger and to the standard employee ledger, so what you owe each person is always on the books.
Built for HR specialists, payroll accountants and the finance teams that sign off the month. Needs Business Central 25 or later.
Pay is rarely wrong in the formula. It goes wrong when HR, time, leave and the ledger each live in a different place and someone re-keys the numbers between them. EXTBC Payroll and HR keeps the whole chain in Business Central.
Hire, transfer and dismissal orders set the job, schedule and pay that payroll reads. A transfer on the 15th splits the month into two prorated segments without anyone adjusting it by hand.
Vacation, sick leave and business trips calculate their own pay from average earnings, show the base month by month, and post when entered, so vacation pay can go out before the month closes.
Rates, exemption amounts and insured categories carry a starting date. Any month recalculates with the values in force then, and a payout that would mix two regimes is stopped.
Pay, personal identifiers and confidential employments each have their own permissions, and users can be limited to their own org. units.
Each part works on its own records and hands over to the next, with a calculation trace you can open on any line.
The person is the standard Business Central employee. Each job is an employment with its own personnel number, org. unit, position, schedule and pay, so main and part-time jobs sit side by side.
Hire, transfer and dismissal orders for one or many employees, with signed Word printouts. A simplified mode lets users edit the employment card and logs every change as history.
Production calendars with moved days and regional holidays, weekday or cycle schedules, summarized time, night and shift work, and a timesheet that proposes the schedule minus absences.
Vacation, unpaid leave, sick leave, business trips, downtime, no-shows and return from childcare leave. Leave accrues by months or days, with balances, a vacation statement and opening balances.
Salary by days or hours, hourly and daily rates, overtime, night and evening supplements, piecework, bonuses, average earnings and sick benefit. A formula method covers company-specific rules without code.
Income tax with cumulative exemptions, employee medical insurance, employer social insurance, non-residents and the agriculture tariff with state subsidy, all behind a statutory pack.
Direct accrued pay to payment and withhold taxes and deductions in one document. Pay advances with or without tax, or solve the gross pay that gives an agreed net amount.
Create the payment journal for a bank or cash statement with one balancing bank line, export a salary file per salary project, and deposit unpaid wages and pay them later.
Writs of execution, union dues, meal vouchers, material assistance and in-kind income, assigned to people by document and ended by a stop document that names what it ends.
Accrue the reserve for vacation pay and its contributions by employee or company, up to an annual cap. Posted vacation pay draws on the reserve and any excess becomes a normal expense.
The monthly report on income tax, medical insurance and social contributions is built from the payroll ledger and exported as XML. A filed month is corrected by a new report.
Print or e-mail payslips as PDF, or publish them to an employee portal and see who opened them. Requests and HR e-documents come through provider interfaces.
HR orders and time decide what is paid. The payroll run and the payout compute gross, taxes and net. The standard payment journal pays employees.
Post hires, transfers and dismissals. Employments, planned pay and leave rights follow.
Post the timesheet. Register leave and sick leave, which post their own pay.
Calculate every active employment, review each line’s trace and post gross pay and employer contributions.
Suggest the payout and withhold income tax, medical insurance and deductions.
Create the payment journal from a bank or cash pay statement and settle the net.
Release the statutory report from what was paid out and accrued, and export the file.
Payroll posts in three steps. Gross pay credits the employee, withholdings debit them and payments close the balance, so the standard employee ledger always holds the net still owed to each person.
The app reuses the standard employee, employee ledger, payment journal, dimensions, number series, document attachments, e-mail and job queue instead of building parallel versions.
Posted documents are never edited. A correction posts difference lines that keep the original accrual month, so averages, IPC21 and the personal tax card see the right period.
An accounting method resolves the expense account by element, employment, org. unit or company, and carries dimensions through to the posting.
Taxes, exemptions and payments belong to the employee. Pay, schedule, time and leave belong to each employment.
Settings, rates, exemption amounts and planned pay are effective-dated, so you can recalculate any month with the rules of that month.
Close a month to block posting into it. Late changes post in the open period and keep their accrual month.
HR specialists and payroll accountants work from their own pages and permissions. Employees do not need a Business Central licence, because they reach their data through a portal.
| Role | Main pages | Monthly work |
|---|---|---|
| HR specialist | HR Workplace, HR orders, absences, timesheets | Hire, transfer and dismiss, register leave and sick leave, post the timesheet |
| Payroll accountant | Role center, payroll runs, payouts, pay statements, IPC21 | Calculate and post the run, post the payout, create the payment journal, file IPC21 |
| Employee | Portal of the self-service provider, outside Business Central | Read payslips, sign HR documents, request leave |
The HR Workplace lists employees without employment, missing data such as identification number, schedule or insured category, and documents not yet posted, so gaps are found before payroll runs.
Nine permission sets separate HR, time, payroll, personal data and statutory work. Personal identifiers live in their own tables, behind their own permission set.
A per-user filter narrows the pages, reports and APIs a user sees, and a user without a line sees no employments at all when restriction is on.
Without the salary permission, amount fields on orders, absences, planned pay and payroll pages are hidden and cannot be edited.
Identification numbers, identity documents and dependants’ data are classified as personal data and open only to a dedicated permission set.
Mark an employment confidential and only users with that permission see it. Privacy-blocked employees stop new documents and posting.
The app never deletes payroll, HR or statutory records. Its integration log keeps no personal data from the payload.
The app reaches outside services only through provider interfaces and API pages, so a portal, an e-signature service or a bank format is a separate extension, not a rewrite.
Load org. units, positions, elements and rates through configuration packages, then employees, employments, leave rights and opening balances for the year. We recommend running one month alongside your current payroll, such as 1C, and comparing per employee before you switch.
Describe your employees, schedules, pay elements and reporting. We will map them to EXTBC Payroll and HR and outline the setup, migration and parallel run that fit your organization.
